Group Tour Booking Conditions and General Information

The "Package Holidays and Mini Cruises Travel Terms and Conditions" and the "General Conditions of Carriage for Ferry Crossings" are supplemented by these Group Tour Booking Conditions and General Information. In the event of a conflict of these provisions, these Group Tour Booking Conditions and General Information shall prevail as the more specific rules and regulations.

Booking request

The booking request must be made in writing to Color Line. The booking request is not binding until the party making the booking has been sent the confirmation and has reconfirmed the booking in writing. A non-binding offer shall be binding neither on the party making the booking nor on the tour operator.

Confirmation

Please check our confirmation and make sure that the services and cabin categories listed match your desired specifications. Please notify us immediately in writing upon receipt of confirmation of any necessary changes or additional services that are missing in the confirmation.

Processing

Single cabins
If a single cabin is booked, a surcharge per person will be charged for the respective cabin category. Please refer to the valid confirmation for details on the surcharge amounts. The total number of single cabins in each category is confirmed as set out in the confirmation. A subsequent booking of additional single cabins is only possible subject to consultation with Color Line and availability and requires a written request by the party making the booking.

Booking status
Please let us know the final booking status for:
groups of up to 50 people: 8 weeks before departure;
groups of 51 or more persons: 12 weeks before departure.

List of participants
We require the list of participants together with the allocation of passengers to the different cabins, the first and last names, and the ages (at time of travel) of all guests at least 4 weeks before departure. If we have not received a complete list of participants by that date, Color Line reserves the right to charge the party that made the booking with the corresponding cancellation fees for the missing participants. For additions and changes to the list of participants up to 3 days before departure, we charge an additional EUR 25.00 per person (net price) and less than 3 days before departure EUR 50.00 per person (net price) as a handling fee.

Vehicles
Please give us the exact dimensions of all vehicles, including license plate numbers.

Free ticket rule
For every 20 full-paying guests (20+1), Color Line grants one free ticket in the
most booked cabin category (single or double cabin), meals excluded. For groups of 20 or more full-paying guests (20 +1), the bus transportation for pure crossings (excluding the mini cruise and Oslo city trip) is free of charge. Trailers and additionally booked vehicles are charged for and invoiced according to the price list. Since the car saving packages (4-berth cabins) are already offered at a reduced price, we are not able to grant you any free tickets in this case. This applies both to the carriage of persons and vehicles. The free tickets will be granted once we have received the lists of participants.

Travel documents
After payment of the invoice, travel documents can be obtained in our port office on the date of departure.

Emergency number
Please provide us with the mobile phone number of the tour manager or bus driver and/or the party that made the booking for the group no later than 3 days before departure.

Cancellation periods

Color Line keeps the full cabin contingent specified in the confirmation available. It is possible to cancel and/or reduce the number of cabins booked in writing free of charge within the cancellation periods stated below. After the cancellation period has passed, a free cancellation or reduction of the agreed total number of cabins is no longer possible. The cancellation fees specified in the confirmation apply to cabins and other booked services and will be charged to the contractual partner.


Groups of up to 50 people:

More than 7 weeks before departure: free of charge
7 to 4 weeks before departure: 25% of the total amount
Less than 4 weeks before departure: 50% of the total amount
Less than 1 week before departure: 75% of the total amount
Less than 48 hours before departure: 95% of the total amount


Groups of 51 or more:

More than 12 weeks before departure: free of charge
12 to 4 weeks before departure: 25% of the total amount
Less than 7 weeks before departure: 50% of the total amount
Less than 1 week before departure: 75% of the total amount
Less than 48 hours before departure: 95% of the total amount

Cancellation of up to 10% of the group size (goodwill rule)

14 days before departure: free of charge
14 to 7 days before departure: 10% of the total amount
7 to 1 day before departure: 25% of the total amount
Less than 1 day before departure: 95% of the total amount

Payment terms

We will send you the total invoice via e-mail 50 days before departure to be paid at the latest 20 days prior to departure. Failure of the contractual partner to pay the invoice before departure releases Color Line from the carriage obligation.

Invoice

The prices specified in the confirmation are exclusive of VAT, since Color Line as a Norwegian shipping company is VAT exempt. Invoices are issued in the name and on behalf of Color Line ASA, Oslo, Norway.

Please provide us with the correct billing address of your business prior to billing. It is not possible to change the address of the invoice once it has been issued.

Final provisions

All times given are local times; timetables are subject to change. Color Line GmbH reserves the right to pass on price changes from external service providers (such as flights, hotels, restaurants, etc.).

These Group Tour Booking Conditions and General Information are subject to the laws of the Federal Republic of Germany. Actions against Color Line GmbH are to be filed at its registered office. The place of jurisdiction for merchants (Vollkaufleute) under the German Commercial Code (HGB) and for persons, whose general place of jurisdiction is not located in Germany, as well as for persons, who have moved their place of residence or domicile abroad after the agreement has been concluded or whose place of residence or domicile is unknown at the time of filing the action, is where the tour operator is registered, unless international conventions mandatorily provide otherwise.
